Be Our Guest By Bayleys manages short term accommodation bookings at properties as agents on behalf of the owners or other persons in legal control of those properties.
These terms and conditions together with our Privacy Policy govern the relationship between Be Our Guest By Bayleys and any individual who uses this website or utilises our accommodation services (other than the owners of the Properties), including but not limited to an individual who makes a booking at one of our Properties and each person named or travelling on that booking (a “Guest” or “you”).
By accessing this website and our services, we assume you accept these terms and conditions. Do not continue to use Be Our Guest By Bayleys if you do not agree to take all of the terms and conditions stated on this page.
Guest Terms & Conditions
Currency and taxes:
All prices are in New Zealand dollars (NZD) and include New Zealand’s 15% Goods and Services Tax (GST) unless stated otherwise.
Payment and Cancellation policy:
– A 20% deposit is required on all bookings made more than 30 days in advance of your stay to confirm your reservation. The remaining amount will be charged 30 days prior to your arrival
– Bookings made within 30 days of arrival require full payment at the time of booking
– Your reservation and deposit is refundable up until 30 days prior to arrival
– Cancellations received within 30 days, receive a 50% refund, and cancellations received within 14 days are not refundable
– We accept payments from credit and debit cards. A 3% processing fee is charged on all credit/debit card transactions. This charge is non-refundable.
– If we are unable to process any payment due to us in full and on time, and you do not remedy the payment failure within 24 hours, we may treat your booking as cancelled by you.
*Please note, bookings made via third party websites will be subject to the payment terms and conditions as set out on the portal.
Travel Insurance:
We highly recommend you purchase travel insurance to protect your holiday from any unforeseen events or circumstances which may affect your travel plans. Refunds are not applicable in the event of natural disasters or environmental issues out of our control. In certain circumstances, a partial refund or credit may be payable at the property owner’s discretion only.
Amendments or Cancellations by Be Our Guest By Bayleys:
In the case of unforeseen circumstances on which a booked property becomes unavailable, Be Our Guest By Bayleys carry the right to cancel or relocate the guests’ booking. We will do our best to relocate guests in the first instance to a property of similar standard or higher. In the case of a cancellation, we will refund the total reservation amount. Should the Guest accept a substitute property of their choice, the Guest will pay or receive the difference in rate for the new property. No further compensation will be made or liable for.
Security Deposit:
A Security Deposit (which is withheld from your credit card) is required prior to your arrival and is released within 7 days of your departure, provided there is no damage noted by the Manager after their inspection to the following:
• Property or furnishings
• Excessive dirt, mess, laundry, or garbage that requires additional cleaning
• Lost or damages items, including keys, remote controls, etc
The Guest is liable for any breakages or damage caused to the property or chattels that occurs during the Guest’s stay. When you arrive at the property, if you notice any pre-existing damages or breakages, please immediately report these to Be Our Guest By Bayleys. Be Our Guest By Bayleys reserves the right to inspect the property anytime during your stay.
The guest agrees that the liability is not limited to the security deposit amount if the damage costs exceed the deposit. If there is an issue with the credit card being debited, the guest agrees to immediately pay the amount owing to Be Our Guest By Bayleys in full via alternative payment methods.
Online check-in:
We require you to complete an online check-in registration prior to arrival. We require a copy of your ID & credit/debit card used so that we can check the name on your credit/debit card matches the name on your ID. This protects us against credit card fraud.
Check-in:
Check-in time is from 3:00 PM on the date of your arrival.
Please ensure you have read and understood your arrival details in full, to ensure you are aware of how to access the property upon your arrival. Please notify Be Our Guest immediately if there are any issues at the holiday home upon your check-in.
Should you require an early check-in this must be arranged prior to your arrival. We will endeavour to accommodate your request, but please understand this may not be possible.
Check-out:
Check-out is strictly 10:00am. Should you require a late check-out this must be arranged prior to your arrival. We will endeavour to accommodate your request, but please understand this may not be possible in busy periods as our cleaners need time to clean and prepare the property for guest arrival on the same day.
A late checkout incurs a surcharge of NZD $50 + GST to cover additional housekeeping costs.
Please note a surcharge will be deducted from your account for excess rubbish or incorrect items placed in the rubbish/recycling bins.
Property Occupancy:
When guests have booked one of our properties, they are rented on the understanding that they are to be used for residential accommodation only and for the dates the booking is selected for. Under no circumstances can the guests stay longer than the dates selected on the booking confirmed by Be Our Guest By Bayleys.
Each property has specific occupancy limits which are strictly enforced and must be adhered to. The number of occupants is as per the reservation and may not be increased. Increased occupancy, excessive noise or illegal activity may result in a penalty charge and/or eviction and forfeiture of all prepaid rental monies.
Offers and Promotions:
Discounts and promotions cannot be used in conjunction with another offer or promotion. Be Our Guest By Bayleys are privately managed holiday homes and not all properties partake in promotions. Additional Terms & Conditions, exclusions and policies may apply.
Keys:
If you misplace your key during your stay, a surcharge of NZD $100 + GST will apply. Because of security considerations, failure to return keys may result in a charge to cover the changing of locks at the property.
Surcharges:
– A pet surcharge of $250 incl GST per stay applies. Please enquire with us before you bring any pets along as not all of our homes are pet friendly. If we are not notified of pets at the property or find the house requires excess cleaning, you may incur a fee of up to $500 + GST for deep cleaning.
– If you require any items left behind at your accommodation to be posted to you, you will be charged for the cost of postage plus an admin fee of NZD $25 + GST.
– If you require a Property Manager or Maintenance Manager to attend a holiday home whilst you are inhouse for a non-emergency this may incur a surcharge if: 1.) No issue is found or 2.) The instructions provided have not been followed correctly. Charges are NZD $65 + GST per hour plus any applicable fees associated.
Smoking and Vaping:
There is no smoking, vaping or use of unlawful substances allowed inside the property. If smoking or unlawful substance odour is detected upon check out, a minimum NZD $1000 damage charge will apply in addition to any cleaning, fumigation, repair and remedial costs.
Cleaning Fees and Linen:
There will be additional cleaning fees on all property accommodation pricing. This involves a professional departure clean and premium linen for the occupancy permitted in the home.
More frequent cleaning may be scheduled upon request for an additional charge. Please note stays of 10 or more nights will incur additional property cleaning, rubbish removal and linen charges. Excessively littered and/or dirty conditions at check-out will result in extended housekeeping hours at an additional cost of $50/hour + GST. If additional housekeeping is necessary, including stain removal, paint repairs, replace damaged/missing furnishings, BBQ cleaning, you will be charged for labour, materials, plus any vehicle charges.
We request that linens are not washed as these are professionally cleaned. If you require a change of linens, please inform the Manager so these can be arranged at an additional cost.
Special bedding configurations must be requested 7 days prior to your arrival. Any requests within this period will not be accepted.
Age Restrictions:
Reservations are limited to persons 25 years of age or older. All guests staying at the property unaccompanied by a parent or guardian must also be over the age of 25 years. Your ID is required so we can check you are over 25 years of age as per our Terms and Conditions.
Noise and Parties:
This property is a residential dwelling and is to be used strictly for residential purposes by the Guest(s) and the number of occupants nominated at the time of booking. The use of the property for a function, a party, or any other gathering is strictly prohibited. Use of the property for purposes other than a residential dwelling will result in eviction from the property, termination of the booking and forfeiture of all prepaid rentals. As Be Our Guest By Bayleys properties are private homes, you are required to respect quiet hours between 10pm and 8am. Please respect our neighbours by keeping noise to a low level at all times.
As agreed by Queenstown Council, the following rules apply:
– No amplified sound/music is to be played from the outdoor living areas between the hours of 8pm – 8am
– All outdoor living areas must not be used between the hours of 10pm – 7am.
The residents within the neighbourhood and the management company can call the council with a noise complaint if they have concerns between the hours of 10pm – 8am.
Health and Safety:
As a Guest of Be Our Guest By Bayleys, it’s important to familiarise yourself with the potential hazards and hazardous areas at the property. All Guests are required to implement and evaluate their own safety measures to ensure the safety of everyone staying at the property. No liability can be accepted by Be Our Guest By Bayleys for any injury, loss, or damage to the guest or guest’s property or any visitor to the property, that may occur as a result of using the rental property.
The guest will not purposely do anything to affect the owner or property manager’s insurance over their stay. If Guests use extra facilities at the holiday home, including but not limited to the hot tub and BBQ, it will be at the guest’s own risk. The Guest will accept responsibility if any injuries were to incur after the use of such items.
Limitation of Liability:
Be Our Guest By Bayleys does not accept any responsibility for any actions or failures of third parties that could affect or disrupt a Guest’s booking. While we strive to provide accurate and reliable information, some features or amenities may occasionally be unavailable due to factors beyond our control, for which we accept no responsibility.
Guests are responsible for their personal belongings, including vehicles and items inside the rental property. Be Our Guest By Bayleys is not liable for any damage to or loss of these personal items.
Property Suitability:
Guests must review all property amenities, specifications and unique characteristics, including environmental conditions, to verify that the selected property will be suitable before booking. Some properties may not be suitable for children or mobility-impaired individuals. Please evaluate the property details and check with us if you have any questions. Reservations cannot be refunded if on arrival a property is found to be unsuitable for your needs.

Agreement:
The guest, as stated on the booking with Be Our Guest By Bayleys agrees that all policies and conditions must be obeyed. If any of the above is not implemented, we have the right to terminate the booking, and the guests will vacate the property immediately.
If the guest is asked to leave under these circumstances, the guest understands there will be no refund of the monies paid.
